Privacy Policy

This policy describes how Baya Dental handles information through its scheduling widgets, patient communication tools, and practice portal. When you use these tools to contact a dental practice, Baya Dental processes your information to provide the service to that practice. The practice is responsible for its care, patient records, and its own privacy notices.

Information we collect

We collect information you submit, including your name, date of birth, phone number, email address, appointment preferences, reason for a visit, messages, and optional insurance details. We also record your SMS consent choice, its source and time, and message delivery and opt-out information. Practice account information and technical information, such as service logs and browser requests, support authentication, troubleshooting, and security.

How we use information

We use this information to deliver appointment requests to your chosen practice, coordinate scheduling, maintain conversations and consent records, send service communications, and operate and protect the platform. Text messages are sent with your opt-in. You can submit an appointment request without agreeing to text messages.

How information is shared

Information is available to the dental practice you contact and authorized people who help that practice manage scheduling and patient communications. Service providers may process information as needed to operate hosting, authentication, email, text delivery, and connected practice-management systems. Information may also be disclosed when required by law or necessary to protect legal rights or service security.

Mobile information and SMS consent

We do not sell, rent, or disclose mobile information to other companies or affiliates for their advertising or promotional use. SMS opt-in records and consent are excluded from marketing-related sharing. We disclose this information only as needed to operate the messaging program, including to providers that transmit and deliver messages, or as required by law.

To stop text messages, reply STOP to the sending number. Reply HELP for assistance, or contact the dental practice directly. Message frequency varies, and message and data rates may apply. Opting out of SMS does not prevent the practice from contacting you by other appropriate channels about your request.

Retention and security

Information is retained as needed to provide services, maintain consent and operational records, address disputes, and meet applicable obligations. Retention depends on the type of information and the practice’s requirements. We use access controls and other safeguards to protect information, but no electronic service or transmission can be guaranteed secure. Ordinary text messages may be visible to others with access to your phone or account; avoid sending sensitive clinical details by SMS.

Your choices and requests

Contact your dental practice to request access to, correction of, or deletion of information associated with your care or appointment. Some records may need to be retained. Cookies, links, and updates

On bayadental.com, Google Analytics measures website visits, traffic sources, demo-window opens, and completed demo bookings. It uses cookies and processes technical and usage information. We use Cloudflare’s country detection to request consent before loading analytics for visitors in the EEA, United Kingdom, and Switzerland, or when location cannot be determined. Elsewhere, analytics loads automatically unless you have declined or your browser signals Global Privacy Control. You can turn analytics off or change your choice using Analytics preferences in the footer. We store explicit choices in your browser and honor a saved refusal across regions. Our demo-tracking events do not include names, email addresses, patient information, or Calendly booking details. Declining does not prevent you from using the website or booking a demo.

The demo scheduler is provided by Calendly and loads when you open the demo window. Information you enter there is processed by Calendly to arrange your demo and is subject to its own privacy and cookie controls. Website analytics consent is separate from Calendly’s controls and from patient SMS consent.

Account sign-in may use cookies or similar technologies to maintain authenticated sessions. External websites and connected services have their own privacy policies. We may update this policy as services or requirements change; the effective date above identifies the current version.
